1. Preparing Your Shipment

Proper preparation of your shipment is the first and most critical step in ensuring safe delivery. Please follow these guidelines to ensure your cargo is handled efficiently.

Packaging Requirements

All items must be securely packed in strong corrugated boxes or appropriate containers. Use sufficient cushioning material (bubble wrap, foam, air pillows) around each item to prevent movement and damage during transit. Double-box fragile items for extra protection.

Sealing & Labeling

Seal all packages using strong packing tape (minimum 2-inch width) along all seams and edges. Each package must have a clear, legible shipping label with the complete sender and recipient address, phone number, and reference number attached to the outside of the box.

Weight & Dimensions

Accurately weigh and measure every package before submitting your shipment request. Carriers use both actual weight and volumetric (dimensional) weight — whichever is higher. Volumetric weight is calculated as: Length × Width × Height (cm) ÷ 5000 = Volumetric Weight (kg).

2. Required Documentation

Correct documentation is essential for customs clearance and timely delivery. Missing or incorrect documents can result in delays, additional charges, or shipment returns.

  • Commercial Invoice — Required for all international shipments. Must include item description, quantity, unit value, total value, origin country, HS code, and seller/buyer details.
  • Packing List — Detailed list of package contents including item descriptions, weights, dimensions, and quantity per box.
  • Air Waybill (AWB) / Bill of Lading (B/L) — Transport document issued by Top Line Express upon booking confirmation. Keep a copy for your records.
  • Certificate of Origin — Required for certain countries and trade agreements. We can assist with preparation and certification.
  • Import/Export Permits — Some goods require special permits or licenses. Check with our team before shipping restricted or regulated items.
  • Letter of Credit (L/C) Documents — If your shipment is under an L/C, all documents must match the credit terms exactly.

3. Prohibited & Restricted Items

The following items are strictly prohibited from being shipped through Top Line Express services. Attempting to ship prohibited items may result in shipment seizure, fines, and legal action.

4. Customs Duties & Taxes

International shipments are subject to import duties, taxes, and customs processing fees levied by the destination country's government. These charges are determined by the customs authorities based on:

  • HS Code Classification — The Harmonized System code of your product determines the applicable duty rate.
  • Declared Value — Customs duties are generally calculated as a percentage of the declared commercial value.
  • Country of Origin — Free trade agreements may reduce or eliminate duties for goods originating from certain countries.
  • VAT / GST — Most countries apply value-added tax on imported goods in addition to customs duties.

Top Line Express can provide estimated duty calculations before shipping. Final duty amounts are determined solely by the destination country's customs authority. Import duties are typically payable by the consignee (receiver) unless otherwise arranged.

We strongly recommend insuring all shipments, especially high-value or fragile items. Top Line Express offers comprehensive cargo insurance coverage through our trusted insurance partners.

  • Standard Coverage — Included for all shipments, covers loss or damage up to a limited liability amount based on weight.
  • Full Value Insurance — Optional premium coverage up to the full declared value of your goods. Recommended for electronics, machinery, samples, and high-value commodities.
  • Claims Process — In the event of loss or damage, notify Top Line Express within 7 days of delivery. Provide photographs, invoice copies, and a written description. Our claims team will process your request within 14 business days.

7. Tracking Your Shipment

All shipments booked through Top Line Express include complimentary real-time tracking. Once your shipment is dispatched, you will receive a tracking number via email and SMS. You can monitor your shipment's progress by:
